This privacy policy (Policy) sets out the handling practices of information by the Australian Innovation Management Institute Ltd (AIMI).

At AIMI, we handle personal information in accordance with our obligations under the Privacy Act 1988 (Cth), including the Australian Privacy Principles (Privacy Act).

This Policy applies to how we collect, use, and disclosure your personal information.

Information that pertains to an identified or reasonably identifiable individual is considered personal information. The primary method through which we gather such information is when you directly provide it to us. We only collect personal information required for the functions and activities we are currently engaged in.

We collect, hold, use, and disclose personal information to deliver our services and products to you including:

  • providing membership services;

  • conducting professional development and capability building courses;

  • providing member and customer support, including responding to queries;

  • holding events on current issues;

  • advocacy and making submissions to government and others about improving innovation and innovation management practices;

  • conducting and making available the results of research;

  • if applicable, verifying your identity and processing payments; and

  • delivering relevant advertising based on your interests and experiences.

If we do not collect your personal information, this may impact our ability to provide some or all our services and products to you.

If possible, we will allow you to interact with us anonymously. However, it is important to note that in many instances, your name and contact details are essential for effectively addressing your applications, attendance, queries, or complaints.

Collection and Use of Personal Information

We collect your personal information for the following purposes:

membership information

When you apply to become a member of AIMI, we will ask for your personal information, including your name, contact details, educational, and career history.

We may also collect personal information from members about your reasons for changing your membership category, which may include sensitive information related to your work experience and education.

In addition, we collect information about members from other sources where a member has consented to this collection or would reasonably expect AIMI to make such collection. Examples of personal information collected from other sources may include workplace references and information from publicly available sources. AIMI uses this information to verify membership information.

information about event attendance and courses

When you register or attend our events, we may collect:

  • your name, title, contact information, occupation, and location;

  • assessment answers, course results, and feedback information; plus

  • sensitive information, such as dietary or accessibility requirements.

AIMI may collect images and sound recordings of you in attendance at our events.

images and recordings

AIMI collects images that maybe in the form of videos or photographs, plus sound recordings of its events. These may either be taken by AIMI or by a service provider.

If you do not want AIMI to collect and/or use any images or recordings of you, you may contact AIMI directly to express your preference.

survey information

If you participate in an AIMI survey, we may collect your name and contact details, and any other personal information you choose to provide in the survey response.

We only use the personal information collected through surveys for analytical purposes, and to assist with the improvement or development of our services and products.

If we provide survey results to third parties for their research, we will notify you of the details of the study at the time of collecting your information.

market research findings

AIMI may commission market research about members and non-members.

If our market research provider also collects your personal information, that provider will make a copy of their privacy policy available to you, and their collection and use of your personal information will be subject to that privacy policy.

  • identify your needs and ensure our services and products meet those needs;

  • identify prospective members and provide marketing activities designed to recruit new members; and

  • provide up-to-date information.

non-member information

To expand AIMI’s membership, we collect personal information such as your name, contact details, past and present occupation, location, and specific areas of interest of prospective members.

We may collect this information from publicly available sources and existing members who refer a prospective member to AIMI.

In addition, we also collect the name, title, organisation, and credentials of any speakers, organisers, hosts, facilitators, or trainers whom we engage to conduct our events and courses.

applicants and contractors

If you apply for a position with us, we will collect your name, contact details, educational and work history, and other information that you provide to us as part of the application process.

If you are a contactor, we will collect your name, contact details, and other information we need to communicate with you about your services or products.

Collection of Information via our Website

We collect personal information when you visit our website, which may include personal information you provide online, such as your name, address, email, and contact number.

We may also collect information related to your device, your device’s unique identifier, your network information, the type of browser you use and information about the way you use our services or products.

We use web analytics to understand how you engage with our website. This involves the use of first and third-party cookies and JavaScript. The data collected by our web analytics software includes your IP address, domain name, visit date and time, pages navigated, duration on each page, your site visit history, and the referring site that led you to the web page.                                                                             

We use web analytics and behavioural marketing tools create and assess profiles that impact the marketing content you may receive. This data aids us in gauging the performance of our website and the interest generated in specific pages or AIMI's marketing initiatives.

We use web analytics to collect information from the browsers of those who use or participate in the AIMI LinkedIn page and other social media sites. If you participate in our LinkedIn page and/or social media sites, we may keep a note of the discussion and store it against any membership or other profile we have created about you.

Our website and social media sites, may contain links to third-party websites and/or social media sites. Your use of these sites is subject to those third-party privacy policies.

Communications

We may send marketing communications to you. However, we will give you the chance to opt-out of receiving such marketing material. You can also opt out by contacting us.

We may display customised marketing material to you when you access via our website based on data stored in your cookies.  Our service providers may also display our marketing material on other parties’ websites that you visit.

Disclosure of Your Personal Information

Common situations in which we disclose information may include:

events

We disclose personal details of event participants to event presenters, sponsors, and event attendees to encourage participation in our events. We also disclose details of presenters to AIMI members and the public when promoting our events. 

courses

We may disclose personal details of course participants to other participants in that same course. This is limited to the names of all the people who have registered to attend the course. We also disclose details of any presenters to AIMI members, course participants, and the public for the purpose of promoting the course.

publications

We disclose information about members to other members via AIMI publications. This information may include details about new members, their current employment, the successful completion of certain courses, and articles written and inspired by members.

third-party service providers

We disclose personal information to our service providers, who assist us to deliver our services and products such as IT services and marketing.

other disclosures

Where we think it appropriate in the circumstances, AIMI may disclose whether you are a current member to third parties, including other members of AIMI, the media, and the public.

where required by law or authorised

Where required by law, we will disclose your personal information to enforcement bodies.

We are required by the Corporations Act 2001 (Cth) (Corporations Act) to collect and record certain information in our member register and allow an individual to inspect the AIMI’s member register and view current and past members’ names and addresses.

We might share personal information with regulatory authorities in Australia or other organisations to support them in business licensing or due diligence purposes. This may involve providing details such as your membership status, completed courses, and grades.

Storage and Security of Personal Information

We routinely evaluate the potential risks associated with the mishandling, interference, loss, unauthorised access, modification, and/or disclosure of personal information. To mitigate these risks, we implement measures, encompassing policies, procedures, and technology.

Access and Correction to Personal Information

You have a right to ask for correction of or access to the personal information we hold about you. We may require you to verify your identity before we grant you access. 

Retention of Personal Information

We retain your member details, along with information about your participation in events and courses, throughout your professional career. This allows us to consistently provide you with content that we believe will be of interest to you. 

Changes to this Policy

We may amend this Policy from time to time, and any amendments to this Policy will be effective immediately once it is posted to our website.
